Deposits, sourcing, auction grades, shipping, customs, delivery times, cancellations, trade-ins and the paperwork — written out properly so you are not relying on a WhatsApp thread from three weeks ago.
The deposit is stated on your quotation and again on the invoice before you pay anything — it is a percentage of the landed price for stock vehicles, and for special orders it reflects the auction budget we are committing to. You will never be asked for a figure that is not written on an invoice first.
It commits us at the auction. We bid with our own funds against your order, so the deposit is what lets us bid at all. For a vehicle already in stock it takes it off the market and marks it Reserved.
Bank transfer in JMD or USD, PayPal, or in person at 8 Dunrobin Avenue. The USD account is shown on the Payments page; the JMD account details are issued securely with your official invoice and are never published on the website. The USD account receives business payments only and in USD only, so a transfer from a personal account or in another currency is declined by the bank — if you are paying as an individual, use the JMD transfer, PayPal or pay in branch, and accounts will tell you the JMD equivalent on the day. Always use your invoice number and your surname as the payment reference — for example PAI-2026-0105 WILLIAMS. A transfer with no reference sits unmatched in the bank account until somebody works out whose it is, which delays your own order.
If you pay by transfer, upload the proof — the deposit slip or the bank's confirmation screen — on the Payments page, together with the invoice number, the amount and currency, the payment date, the name on the sending account and the bank's transaction reference. Uploading proof of payment does not automatically confirm payment: Petrolex Accounts must verify cleared funds before a receipt is issued or your order status is updated.

Before the vehicle is released to you. In practice that means once it has arrived and customs has assessed it, so you know the final figure before you settle. Nothing is released against an unpaid balance.
Yes, for every verified payment, carrying its own receipt reference and the invoice it belongs to. Receipts appear in your account and are emailed to you. We do not treat a payment as received until the receipt exists.
That is most of what we do. Tell us the make, model, year range, mileage ceiling, colour preferences, must-have features and your budget on the Special Order form. The tighter the specification, the longer it can take — a 2018 Voxy in any colour is a fortnight, a particular grade in a particular colour may be longer.
We will tell you before you commit, and usually suggest the year or the grade that does fit. We would rather lose the sale than land you a vehicle that costs more than you planned for.
Japan is our main market and where our supplier relationships are. Ask about other markets and we will tell you honestly whether we can do it well.
Yes — everything on the Inventory page marked Available is here and can be seen. Coming Soon and Incoming vehicles are already bought and on their way, and can be reserved with a deposit before they land.
Japanese auction houses grade each vehicle, typically from 1 to 5 with letters for the interior. Grade 4 and above is what we normally buy: honest, straight, unremarkable history. Grade 3 can be excellent value where the fault is cosmetic and disclosed. R or RA means repaired accident damage, and we will always tell you when a vehicle carries one.
Yes. We send you the sheet, the grade, the mileage, the inspector's notes and the photographs before we bid, and we bid on nothing you have not approved in writing. That approval is stage 5 of your tracker.
We go again on the next suitable vehicle at no extra cost to you. Being outbid is normal — auctions are auctions — and it is not a reason for your deposit to be at risk.
Japanese auction records and export de-registration papers make mileage unusually reliable compared with other markets, and the sheet flags where the reading is not to be trusted. We pass on what the paperwork says rather than what we would like it to say.
By sea from a Japanese port, normally to Kingston. Roll-on/roll-off is the usual method; containers are used for higher-value vehicles or where several are shipped together.
Estimated time of departure and estimated time of arrival, as published by the shipping line. Both appear in your account and on your tracker. They are estimates: weather, port congestion and transhipment all move them, and when they move we update them rather than leaving you with the old date.
The shipping line's document of title for the cargo. It is issued once the vehicle is loaded and it is what customs entry is made against. It is filed to your account as an import document automatically.
Marine insurance is arranged where your quotation says it is included. If it does not say so, ask us before shipping rather than after — it cannot be added retrospectively.
By Jamaica Customs, on their own valuation of the vehicle, using engine size, age and category. It is not calculated on what you paid. This surprises people every time, so we say it plainly: the duty figure is the authority's, not ours, and we cannot negotiate it.
Only where the quotation says so in writing. Read that line before you commit. Where duties are excluded, we tell you the assessed figure as soon as customs issues it.
Jamaica restricts the age of imported vehicles by category, and the limits change. We check the current rule for your specific vehicle before we bid — it is one of the things a special order is worth paying us to get right.
Then it waits its turn for examination, which adds days rather than weeks. Your tracker stays at Customs Clearance and we tell you what is holding it.
For a special order from Japan, plan on eight to fourteen weeks from confirmed deposit to keys in hand:
A vehicle already in stock can be yours in days. An Incoming vehicle takes whatever is left of its own schedule, which we will tell you exactly.
Usually because nothing has happened — In Transit is genuinely quiet for weeks at a time. The stages move off real events: a verified payment, a shipping milestone, a customs entry. If a stage has been still longer than the guidance above, ask us and we will chase the actual party holding it.

Tell us at handover, before you sign the inspection check sheet — that is exactly what the check sheet is for. Where a vehicle is materially not what the auction sheet and our confirmation described, we will put it right. Wear consistent with the stated grade and mileage is not a defect.
We keep you informed and update the ETA. A shipping delay is not a cancellation event on either side — the vehicle is yours and it is coming.
These are used imported vehicles and are sold as inspected. Any warranty offered on a particular vehicle is stated in writing on that vehicle's paperwork. Ask before you buy, not after.
Yes. Send the details, mileage, chassis number and photographs on the Trade-In page. A valuation is free, written, dated and carries an expiry, and there is no obligation to go ahead with it.
Usually two business days. Where the figure depends on something we need to see in person, we will arrange a short inspection first.
Tell us on the form. The lien has to be cleared before title can transfer, so we work out the order of events with you and your lender before anything is signed.
As a credit against your invoice, so it reduces the balance you owe rather than being paid to you separately. It appears on the invoice as its own line with the trade-in reference on it.
In your account, under Documents, the moment your order is live — you should not have to ask us to resend anything by WhatsApp or email. Blank versions of every form we use are published on the Documents page.
No, but it is the difference between chasing us and simply looking. Your account carries your vehicles, orders, order status, payments made, outstanding balance, receipts, invoices, agreements, shipping information, ETD and ETA, Bill of Lading, import documents, messages and your profile.
Yes — the Track Order page takes an order or shipment reference and shows the fifteen stages, the vessel and the milestones. It deliberately shows no contact details, since a reference is all it takes.
